ASCENT HI – PRIVACY POLICY FOR CHROME EXTENSION

Ascent HI LLC ("Ascent HI," "we," "us") provides the Ascent HI Chrome Extension (the "Extension"), which lets users record or upload a call and submit it for AI coaching feedback. This policy explains what data the Extension handles, how we use it, and who we share it with.

The sole purpose of the Ascent HI Chrome Extension is to let users record a conversation (microphone audio, optionally with their screen) and either save it locally to their device, or sign in and submit it to the Ascent platform for AI-powered coaching analysis. For users not yet connected to a coach, the extension collects an optional name and email solely to deliver that analysis or connect them with a coach.

The Extension requests only the permissions necessary to provide its recording and coaching functionality. Permissions such as microphone, screen capture, local storage, and authentication are used solely to enable recording, maintain your signed-in session, and securely submit coaching requests. Uploaded files are processed only for the coaching analysis you request and are not used to train general AI models.

 

Information We Collect

 

- **Account & authentication.** When you sign in, your email and password are processed by **Amazon Cognito** to authenticate you. We store only the resulting session tokens locally in your browser (`chrome.storage.local`) — we

  never store your password.

- **Call recordings.** When you record, the Extension captures your **microphone** audio. In **Screen + Audio** mode, it also captures the screen, window, or tab you select. The screen video is saved **locally to your device**; only the audio is uploaded, over an encrypted (HTTPS) connection, to our AWS infrastructure and submitted to our AI coaching pipeline to generate your feedback. You may also upload an existing audio, video, or document file to submit for coaching.

- **Follow-up requests.** If you choose to submit the optional follow-up form, we collect the name and email you enter and the request you select — an AI analysis of your conversation, and/or being connected with a coach.

- **What we do NOT collect.** The Extension contains no content scripts and does not collect your browsing history, the contents of the web pages or tabs you visit, or any other web activity.

How We Use Your Information

 

We use the information above only to:

 

- Authenticate you and maintain your session.

- Transcribe and analyze your recordings to produce your coaching feedback.

- Respond to the follow-up request you submitted (provide analysis information

  or connect you with a coach), including sending a confirmation email.

- Operate, secure, and support the service.

 

We do not sell, rent, or transfer your personal information or customer data to third parties for advertising, marketing, profiling, or any purpose unrelated to providing or improving the core functionality of the Extension. Information is used solely to authenticate users, process coaching submissions, generate coaching feedback, operate the service, and comply with legal obligations.

 

Follow-Up Options

 

When submitting the optional follow-up form, you may request:

 

- **AI Analysis of the Conversation** — information about an AI analysis of your recording.

- **Coach Matching** — to be connected with a coach.

 

You can unsubscribe at any time using the link in any email we send.

 

Service Providers We Share Data With

 

We share data with the following providers only as needed to deliver the service:

 

- **Amazon Web Services (AWS)** — authentication (Amazon Cognito), secure storage of recordings (Amazon S3), cloud hosting, and text extraction from uploaded documents (Amazon Textract).

- **AssemblyAI** — transcription of your audio and video recordings into text.
- **HeyGen** — AI-generated coaching videos based on your analysis.

- **Anthropic** — AI processing used solely to generate coaching feedback based on your submitted content.

- **Brevo** — email delivery for the follow-up form (confirmation email and processing your request).

 

We do not sell your personal information, and we do not share it with advertising platforms, data brokers, or other information resellers.

 

Data Retention

 

-  **Local Recording Mode. If you use the Extension without signing in, recordings remain entirely on your device. No recordings, authentication information, or other data are transmitted to Ascent HI unless you intentionally choose to sign in and submit content for coaching.
-  **Account data** is retained for the duration of your active account.

- **Recordings and coaching results** are retained so that you can access your feedback in your Ascent portal, and are deleted upon your request or when your account is closed. 

- **Follow-up contacts** are retained until you unsubscribe or request deletion.

 

Data Security

 

All data is transmitted using modern encryption (HTTPS/TLS). Authentication is handled by Amazon Cognito, and recordings are stored in access-controlled AWS storage. We do not publicly disclose your authentication or personal information.

 

Your Rights

 

You may request access to your data. You may request deletion of your recordings, coaching results, or account data at any time by contacting privacy@ascenthi.com. Unsubscribe requests from marketing or follow-up emails are processed promptly via the link in any email.

Limited Use

​

The use of information received through the Ascent HI Extension adheres to the [Chrome Web Store User Data Policy](https://developer.chrome.com/docs/webstore/program-policies/), including the Limited Use requirements.

Children's Privacy

​

The Extension is intended for business use by professionals and is not directed to children under 18. We do not knowingly collect data from children.

Changes to This Policy

​

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through in-product or email notice.
